Create Basic Actions

Where a scheduled task is something that happens on a set time (every day, every week, etc.), an action is triggered by an event. For example, an action could be set up so that whenever a lead is created online, an email is sent out.

You can find your actions under the gear icon in the top right corner. Click on “+ New action” to create a new action.

It is useful to name your action in such a way that you know what the action does and when it is triggered. For example, you could name the action “notify salesperson when a new lead is created”. You can add remarks to further explain the action. You can select an event, which is the event that triggers the action.

It is not recommended to make the action active right away, but to create the action and set it up completely before making it active.

Once you click “Save”, you will be able to add more specifications.

Adding conditions

You can add conditions to the action. For example, you might want to send an email with a magazine whenever a client requests a magazine. You can create a condition so the action will only be performed when the category of the request is “magazine request” (and thus not when the category is “appointment request”). You can add multiple conditions when necessary.

There are three basic actions you can perform: “Send an email”, “Add a label”, or “Create activity”. You can contact your MLM support if you want more advanced actions.

Send an email

Select the email profile you wish to send out. Click on “+ Create a new email profile” if you need to create a new one. See this article for more information about email profiles.

Here you can select which label should be added when this action is triggered, or you can click on “+ Create a new label” if it does not exist yet. See this article for more information about labels.

Create Activity

The action can also create an activity, such as an appointment or task. You can specify the appointment or task’s status, deadline, and the person the task or appointment is for. It is also possible to add arguments. If needed, you can reach out to your MLM contact for more information on arguments.

This is an example of an action that creates a new appointment whenever a lead is created online.

When your action is set up completely, you can tick the box next to “Action is active”, then “Save”.

Examples

Under “Examples” you can see a list of existing leads that would qualify for this action. This does not mean that once you activate the action, this action will actually be performed for these leads. They are just an example of existing leads; this can be useful to check if your conditions are set up correctly.

Details

The index order is important when you have multiple actions. Here, you are able to change the order of actions if you want one action to happen before another.
