Labels for appointment confirmation emails

When a lead makes an appointment, MLM is capable of sending out an email confirming this appointment. MLM will not send out a confirmation email if this email has already been sent manually. The way that MLM checks whether or not an email has been sent is with the use of labels. The lead is given a label once an email with a specific email profile is sent to them.

This becomes a  problem when there is a follow-up appointment. The lead should also get an email confirming this follow-up appointment. However, the label that confirmed the first email is still attached to the same lead. Thus, MLM will not send out another confirmation email because it thinks it already did.

To fix this, you have to do two things:

  • The first is making sure the label attaches not to the lead, but to the individual appointment. This can be done by changing the settings in MLM. Go to edit the label that is attached when this email is sent out (e.g. “Appointment confirmation is sent”). Under “storage”, change the setting to “activities”. This means the label will be stored under the activity (in this case the email having been sent), rather than the lead who it is sent to. This means the next time another appointment is made, it will get its own individual label.
  • The second is by adding a condition to the emailing task used for the confirmation emails. Go to edit the emailing task and click on “add condition”. For the type of condition, select “Activity does not have label”. Then set the value to whatever label you use, (e.g. “Appointment confirmation is sent”.) Now rather than checking the lead for any labels, it will check the activity itself.
